Position Title: Director of Communications

Reports to: Chief Operating Officer

Position Summary:
The Director of Communications will help us build greater awareness of our organization and brand, and will be an essential part of OUT’s organizational visibility, community engagement, and program content dissemination. 

The Director will play an integral role by developing, executing, and evaluating communications strategies, in conjunction with our leadership team, that advance OUT’s mission and goals and amplify our programs and events. The Director will oversee all of OUT’s external communications and digital platforms, including website, social media channels, public and media relations, and collateral content materials.

The ideal candidate has a communications background with graphic design and digital marketing experience, a personal commitment to fitness, excellent writing/editing skills, is highly organized and detail-oriented, and demonstrates an ability to thrive in a highly dynamic and fast-growing organization. 

Status:
This is an exempt, full-time remote position (40 hours per week). General office hours are 9 am – 6 pm, however, the position will require evening and weekend availability as needed, based on workload and priorities.

Salary is commensurate with experience and ranges from $50,000 – $60,000 plus a bonus structure. Duties & Responsibilities:

Strategy:

  • Work in conjunction with the Chief Operating Officer, Chief Executive Officer, and Director of Development to create comprehensive, long- and short-term communications plans focused on ambitious annual goals
  • Responsible for the roll-out and execution of the annual communications strategy and plan including objectives, timelines, benchmarks, and metrics for measuring success

Social, Digital, and Integrated Marketing:

  • Manage website and social media strategy, maintenance, and reporting; promote community engagement
  • Develop and manage external communications calendar utilizing all forms of media to increase awareness
  • Measure and analyze metrics and track performance to inform and refine resource deployment 
  • Support fundraising and programmatic events to help further reach

Content Creation & Graphic Design:

  • Oversee the development and production of marketing collateral (email communications/ newsletters, annual report/yearbook, website, social media, etc.) including content creation and design for multiple purposes: programs, fundraising (campaigns, grantors, partners/sponsors), events, and other marketing documents
  • Manage and distribute all brand assets as needed
  • Supervise external creative vendors like web developers, videographers, and photographers

Community and Public Relations:

  • Monitor and strengthen OUT’s brand and ensure all organizational communications meet high standards and deadlines, and that brand consistency is maintained across all platforms and in all collateral materials
  • Provide media relations functions, including the creation and distribution of press releases, to support special events and high priorities
  • Prep leadership team for media and other speaking opportunities and events by drafting fact sheets, talking points, etc. to ensure consistent messaging, and secure media training for OUT stakeholders when necessary
  • Develop press relationships and pitch OUT and its leadership team as thought leaders to place quotes and media appearances in stories related to LGBTQ+ fitness, health, and wellness
  • Establish relationships with OUT program staff and participants/alumni in order to develop meaningful narratives about our work

 

Desired Skillset and Attributes:

  • Enthusiasm for and commitment to our mission 
  • Bachelor’s degree in a communications-related field preferred and at least 3 years of experience in a communications management role preferably for nonprofits or community organizations with experience executing a comprehensive communications strategy. Note that years of experience may be considered in lieu of a bachelor’s degree or other formal post-secondary education
  • Knowledge and familiarity managing content design, implementation, engagement, and analytics reporting for Instagram, Twitter, Facebook, and LinkedIn. Preferred experience with Later or another social media management tool for tracking and reporting
  • Required expertise with Adobe Creative Suite tools for creating design assets; experience with Canva a plus 
  • Ability to leverage email marketing via Constant Contact or a similar communications service
  • Media relations experience that includes press release creation
  • Familiarity with maintaining and updating websites using WordPress  
  • Competency in website SEO; data and analytics experience desirable
  • At least 6 months of CrossFit experience strongly preferred; CrossFit coaching certification (e.g. CF-L1) a plus but not required
  • Experience with Salesforce a plus
  • High level of proficiency with Microsoft Suite and Google Suite
  • Strong writing/editing and verbal communication skills; ability to capture organization values and culture in writing and other communications efforts
  • Detail-oriented with excellent organizational skills and the ability to handle multiple demands
  • Proven ability to succeed on a remote team and work independently
  • Self-motivated individual with a positive and energetic demeanor who enjoys collaboration
  • Experience working with people of diverse backgrounds and volunteers

Position Title: Events Coordinator

Reports to: Chief Operating Officer

Position Summary:
The Events Coordinator will help manage and facilitate our expanding schedule of in-person and digital events throughout the year that range in size and scope. The Coordinator will play an integral role by planning, executing, and evaluating all of OUT’s events, in conjunction with our leadership, fundraising, and program teams, that advance our mission and goals and optimize the experience and touchpoints of stakeholders.

The ideal candidate has experience with event planning and coordination, a personal commitment to fitness, is energetic, self-motivated, and can maintain a calm demeanor while juggling rapidly changing priorities. This person should be comfortable in a deadline-driven environment and problem solve. Because this position has a heavy logistical focus, this person should be very detail-oriented, organized, and an independent thinker.

Status:
This is an exempt, full-time remote position (40 hours per week). General office hours are 9 am – 6 pm, however, the job will require evening and weekend availability as needed, based on workload and priorities. Attendance at events overseen by this position may be required.

Duties & Responsibilities:

Fundraising & Communications:

  • Collaborate with the Chief Operating Officer, Chief Executive Officer, and Director of Development on planning, ticketing, and executing approximately 10 in-person and digital fundraisers throughout the year that range in size, scope, and location from a digital 5k and burpee-a-thon to an in-person Gala and Drag Show
  • Work closely with the Director of Communications to compose and distribute all event-related communications and marketing materials, including printed materials as needed

Programmatic:

  • Support fitness facilities (primarily CrossFit Affiliates) worldwide in hosting approximately 90+ OUTAthletics (OA) fundraising events per year. OA brings together LGBTQ+ athletes and allies to sweat for a cause in a safe, inclusive fitness environment
  • Work with OUT staff, OUT’s Trans Health Advisory Board, and partner organizations such as NYU and OHSU, to logistically support OUTHealth programming and initiatives such as educational presentations for medical students, surgery education classes and self-care workshops for patients, and sex education workshops 
  • Schedule, coordinate, and staff interactive online programming such as webinars, town halls, and other virtual educational and informative presentations throughout the year

Operations:

  • Plan annual in-person retreat for staff, board members, and chapter leaders, as well as other staff meetings/retreats as necessary. Responsibilities include but are not limited to drafting agendas, booking venues and workspace, ordering supplies and catering, working with leadership to identify and secure speakers, and making sure technology requirements (audio/visual) are met
  • Organize 3-5 activations per year at in-person CrossFit and fitness events, such as The CrossFit Games and Wodapalooza
  • Manage, recruit, train, and retain volunteers to help with events; strategize around key volunteer roles
  • Create event registration and evaluation forms; develop status reports on all events for leadership
  • Research industry trends and innovations to consistently improve the overall quality of events
  • Carry out other duties as assigned by the Chief Operating Officer

Desired Skillset and Attributes:

  • Enthusiasm for and commitment to our mission 
  • Bachelor’s degree preferred or equivalent combination of education and work or volunteer experience with at least 3 years of experience in the areas of event planning, including virtual events, and/or project management with planned deadlines and objectives
  • Strong organizational skills essential: extremely detail-oriented with the ability to handle multiple demands and simultaneous projects, and break them into trackable tasks to meet delivery deadlines
  • High level of proficiency with Microsoft Suite and Google Suite
  • Volunteer management experience required
  • Knowledge of Asana or other project management software a plus; open to embracing and learning new technology

Position Title: Program Coordinator

Reports to: Chief Executive Officer

Position Summary: The Program Coordinator is an integral role that manages and supports OUT’s programs (OUTAthlete and OUTHealth) and our Chapters. Working with our leadership team, the Program Coordinator will help advance our mission and goals, and will oversee the administration of our programs’ day-to-day operations. This position includes a significant amount of defined ongoing daily, weekly, monthly, and annual responsibilities, juggling a variety of projects while also responding to immediate needs in a fast-paced environment.

The ideal candidate is passionate about our mission, has familiarity with the LGBTQ+ community and related issues, and has a personal commitment to fitness. This person should also be highly organized, energetic, process-minded, self-motivated, and a problem solver.

Status:  This is a part-time remote position, approximately 20-25 hours/week, with the possibility of expanding to a full-time role in the future. General office hours are 9 am – 6 pm, however, the job may require evening and weekend availability as needed. Attendance at events overseen by this position may also be required.

Compensation is commensurate with experience and ranges from $17 – $24/hour, plus a bonus structure. As a part-time employee, you will also be eligible for time-off (holidays, sick days, and PTO).

Duties & Responsibilities:

Program Administration & Management:

  • Support the implementation, management, supervision, and evaluation of OUT’s programs
  • Work with leadership to help develop a blueprint for program growth, and assist in the development and implementation of new programs and workshops, including writing program materials and overseeing program logistics
  • Maintain up-to-date program records and stats/data for periodic internal and external reporting and program monitoring and evaluation
  • Manage calendar of programmatic events and projects
  • Provide Director of Communications and Director of Development with programmatic content, stories, and stats/data, for use in marketing and fundraising materials
  • Attend and support OUT events, as necessary
  • Identify ways to increase program effectiveness and efficiency
  • Carry out other duties as assigned by the Chief Executive Officer

OUTAthlete:

  • Review OUTAthlete applications from LGBTQ+ young adults with the OUTAthlete committee
  • Notify all applicants about application status and conduct onboarding with all new athletes including intake forms, program handbook review, and mentor pairing with a former OUTAthlete
  • Work with LGBTQ+ friendly partner gyms (mostly CrossFit Affiliates) and our Chapters nationwide to set up year-long gym memberships and find local nutrition coaching for athletes
  • Set athletes up with program benefits provided by OUT and our partners (online mental health counseling, healthy meals, training shoes, apparel, etc.)
  • Facilitate monthly group check-in calls with athletes and educational sessions with guest speakers
  • Conduct regular check-ins with athletes’ coaches to support athletes’ progress and monitor their status in the program
  • Oversee and monitor a networking group of current and former OUTAthletes
  • Create and administer periodic athlete surveys to evaluate program impact, effectiveness, and outcomes
  • Participate in the OUTAthlete committee as a staff liaison

 Chapters:

  • Help conduct targeted outreach to support the growth of Chapters nationwide
  • Review potential new Chapter applications with leadership
  • Assist new Chapters with setup and onboarding, which includes a bank account, PO Box, social media accounts, email, website, fundraising page, etc.
  • Maintain regular communications with Chapters to support their board of directors, operations, OUTAthletes, and fundraising efforts
  • Develop resources and share best practices across our Chapter network
  • Ensure that Chapters are meeting required criteria to remain in good standing
  • Audit and update Chapter manual annually

OUTHealth:

  • Support the growth of the program and help to launch new initiatives
  • Work with several partner organizations to plan and facilitate in-person and virtual events that focus on transgender and nonbinary healthcare, gender-affirming surgery, sex education, etc
  • Schedule, coordinate, and staff interactive online programming with OUT’s Trans Health Advisory Board, such as webinars, town halls, and other virtual educational and informative presentations throughout the year
  • Coordinate “Chill OUT”, a quarterly mental health series
  • Participate in the OUTHealth committee and Trans Health Advisory Board as a staff liaison
