Position Title: Director of Development & Communications

Position Summary:
The Director of Development & Communications will play an integral role in ensuring we achieve our mission by cultivating and stewarding funding relationships and will help us build greater awareness of our organization and brand. The Director will be responsible for spearheading development efforts and leading the strategy, implementation, and reporting of our diverse fundraising portfolio and communications strategies in conjunction with our leadership team.
The ideal candidate is a fundraising and communications generalist and seasoned leader who has a proven record of successful experience in nonprofit fundraising, as well as exceptional strategic thinking, relationship development, and communication skills. The ideal candidate will also be a detail-oriented problem solver with a demonstrated ability to thrive in a highly dynamic and fast-growing organization.
As an essential part of OUT’s organizational visibility and community engagement, the Director will have a passion for our mission, and will value a culture of diversity, equity, and inclusion.
Status:
This is an exempt, full-time remote position (40 hours per week). General office hours are 9 am – 6 pm, however, the position will require evening and weekend availability as needed, based on workload and priorities.
Salary is commensurate with experience and ranges from $70,000 – $80,000 plus a bonus structure. Duties & Responsibilities:
Strategy & Leadership:
- Work in conjunction with the CEO and other staff to create comprehensive, long- and short-term development and communication plans focused on ambitious annual goals
- Responsible for the roll-out and execution of the annual development strategy and plan including objectives, timelines, benchmarks, and metrics for measuring success
- Support the formation of a Board Fundraising Committee
- Monitor the annual development budget
- Create comprehensive, long- and short-term communications plans focused on ambitious annual goals
- Responsible for the roll-out and execution of the annual communications strategy and plan including objectives, timelines, benchmarks, and metrics for measuring success
General Fundraising:
- Diversify and increase fundraising activities by developing existing and creating new funding sources including individuals, corporate partnerships, foundations, grants, capital campaigns, in-kind donations, and events
- Establish and cultivate meaningful relationships with donors, foundations, corporate partners, and organizations through compelling storytelling and personal connection
- Work with Communications Manager on the production of engaging written and visual content that captures our transformational work for fundraising and events
- Ensure optimum use of the organization’s CRM database (Salesforce)
Donor Development:
- Develop and execute plans for donor engagement and retention to grow our sustained base of annual individual donors, including matching gifts and monthly giving programs.
- Prospect, cultivate, solicit, and steward major donors through digital and in-person strategies; expand planned giving program
- Utilize a successful peer-to-peer fundraising strategy in the fitness community for large-scale fundraising events.
- Create a calendar and content for direct mail opportunities including our end of year annual appeal
- Strengthen donor communications and donation acknowledgment systems
Corporate Partnerships:
- Develop and codify Corporate Sponsorship Program with our leadership team
- Double the number of high-value corporate partners we work with in the fitness, apparel, food/beverage, and other consumer goods spaces that align with our mission and goals
- Create templates and decks for sponsor engagement
Grants & Foundations:
- Establish and implement a planned approach and strategy to foundations and manage year-round engagement, including reporting, for optimal partnerships
- Engage in grant research and grant writing to develop new opportunities and build operational and program capacity
Events:
- Manage the planning and executing of approximately 10 in-person and digital fundraisers throughout the year that range in size, scope, and location.
- Management of OUTAthletics, a program that supports fitness facilities (primarily CrossFit Affiliates) worldwide in hosting approximately 90+ fundraising events per year
Social, Digital, and Integrated Marketing:
- Manage website and social media strategy, maintenance, and reporting; promote community engagement
- Develop and manage external communications calendar utilizing all forms of media to increase awareness
- Measure and analyze metrics and track performance to inform and refine resource deployment
- Support fundraising and programmatic events to help further reach
Content Creation & Graphic Design:
- Develop and produce marketing collateral (email communications/newsletters, annual report/yearbook, website, social media, etc.) including content creation and design for multiple purposes: programs, fundraising (campaigns, grantors, partners/sponsors), events, and other marketing documents
- Manage and distribute all brand assets as needed
- Supervise external creative vendors like web developers, videographers, and photographers
Community and Public Relations:
- Monitor and strengthen OUT’s brand and ensure all organizational communications meet high standards and deadlines, and that brand consistency is maintained across all platforms and in all collateral materials
- Community management of social media networks
- Provide media relations functions, including the creation and distribution of press releases, to support special events and high priorities
- Prep leadership team for media and other speaking opportunities and events by drafting fact sheets, talking points, etc. to ensure consistent messaging, and secure media training for OUT stakeholders when necessary
- Develop press relationships and pitch OUT and its leadership team as thought leaders to place quotes and media appearances in stories related to LGBTQ+ fitness, health, and wellness
- Establish relationships with OUT program staff and participants/alumni in order to develop meaningful narratives about our work
Desired Skillset and Attributes:
- Enthusiasm for and commitment to our mission
- At least 4 years of experience in a fundraising role for nonprofits or community organizations and 2 years in a leadership role planning and executing a comprehensive development strategy.
- Bachelor’s degree in a communications-related field is preferred and at least 3 years of experience in a communications management role, preferably for nonprofits or community organizations with expertise in executing a comprehensive communications strategy. Note that years of experience may be considered in lieu of a Bachelor’s degree or other formal post-secondary education. Note that advanced board or volunteer service in relevant skill sets will be considered
- Successful record of fundraising from a variety of sources including major gifts, grants, foundations, corporate partnerships, and events
- Understanding of budget development and financial reporting
- Data and analytics experience and/or donor prospecting desirable
- Experience with Salesforce required, and knowledge of Give Lively a plus
- Knowledge and familiarity with managing content design, implementation, engagement, and analytics reporting for Instagram, Twitter, Facebook, Meta, and LinkedIn.
- Experience with Later preferred
- Required expertise with Adobe Creative Suite tools for creating design assets; experience with Canva a plus
- Ability to leverage email marketing via Constant Contact
- Familiarity with maintaining and updating websites using WordPress
- Competency in website SEO; data and analytics experience desirable
- High level of proficiency with Microsoft Suite and Google Suite
- Exceptional relationship development and networking skills to facilitate work with high-profile donors, partners, and organizations
- Experience working with people of diverse backgrounds and volunteers

Position Summary:
The Operations Coordinator will help coordinate and facilitate our expanding schedule of online meetings, manage e-commerce retail shop needs, on-boarding & off-boarding of employees, schedule board meetings, assist fundraisers in setting up online fundraising events, manage the general email box, & making general appointments.
The Coordinator, under the direction of the CEO, will play an integral role in planning, executing, and evaluating all of OUT’s daily operations, in conjunction with our leadership, fundraising, and program teams, that advance our mission and goals and optimize the experience and touchpoints of stakeholders.The ideal candidate has experience with office management, event and meeting planning and coordination, a personal commitment to fitness, is energetic, self-motivated, and can maintain a calm demeanor while juggling rapidly changing priorities.
This person should be comfortable in a deadline-driven environment and problem-solving. Because this position has a heavy logistical focus, this person should be very detail-oriented, organized, and an independent thinker. Strong computer literacy and comfort required.

Duties & Responsibilities:
Communications:
- Establish and maintain communication channels between staff & clients
- Manage all general email boxes & phone lines
- Administrative tasks include but are not limited to scheduling appointments, receiving and uploading documentation, and managing communication platforms such as Slack & Asana.
Operations & Programs:
- Manage G-suite and similar platforms
- Onboarding & off-boarding of employees, which would include platforms such as but not limited to Gusto, Asana, Slack, G-suite & other end-user technology
- Maintain processes and procedures for all assigned duties and general staffing information.
- Coordinate inventory and tracking for e-commerce retail shop, including updating products, ordering merchandise & planning quarterly apparel drops
- Assist in fundraiser inquiries and fundraising event set-up
- Assist Chief Executive Officer in planning annual staff & board retreats.
- Assist Chief Executive Officer in away event logistics such as stay accommodations & transportation
- Manage, recruit, train, and retain volunteers to help with events; strategize around crucial volunteer roles.
- Create event registration and evaluation forms in conjunction with leadership; develop status reports on all events for leadership.
- Assist Programs Director in creating program evaluation forms in conjunction with leadership; develop status reports on all programs for leadership.
- Research industry trends and innovations to consistently improve the overall quality of operations
- Carry out other duties as assigned by the Chief Executive Officer
- Under the direction of the Chief Executive Officer, support governance activities by scheduling meetings, maintaining board-related documentation and preparing board materials
Desired Skillset and Attributes:

The Opportunity:
The OUT Foundation is at an exciting stage of our evolution. We are growing rapidly and have outlined our strategy for the next 3-5 years. We are currently seeking new Board Members to serve on the National Board of Directors. We are inviting applications from interested candidates who share a passion for our mission and who have particular expertise and experience in the following areas: accounting and finance; DEI/JEDI; legal (preference for non-profit and HR); people and culture; program monitoring, evaluation and research; marketing, communications, public relations, and campaigns.

Specific Board Responsibilities and Scope of Authority:
The Board is legally and ethically accountable for the good governance, overall health, effectiveness, and ultimate success of the organization. The Board operates as a collective and in partnership with its Senior Management Team ensures that the organization achieves its mission in an ethical, transparent, accountable, and responsible manner.
The functions below are accomplished as a group, with members participating in various committees and assuming distinct roles within the Board governance structure. Participation and inclusion of organizational senior management and staff will be encouraged as appropriate.
- Articulate vision, mission, and values and ensure appropriate structures, strategies, policies, processes and practices are developed and put in place. Maintain appropriate oversight to ensure that the organization’s programs, activities, and operations align with and adhere to these.
- Ensure that the organization remains relevant to the community it serves by adopting processes that regularly monitor and analyze the external environment and evolve and refine the vision, direction, and strategy, as appropriate.
- Oversee the development and alignment of strategic and operational plans (long-term and short-term). Define, regularly monitor and assess progress against key performance goals and objectives and ensure that steps are taken to ensure these are met and that corrective actions and plans are in place to ensure high performance and continuous improvement in all areas.
- Ensure the financial sustainability of the organization e.g., through fundraising, prudent financial management, maintaining appropriate reserves, and capitalization.
- Ensure that adequate risk management is in place, e.g., legal and financial, safety and security, insurance, IT security and data backup, leadership succession, Board Officer and Board member succession and pipeline planning, etc.
- Define and regularly review the parameters of the Board’s work remit, including its committees and task forces, and assess the performance of the Board (collectively and individually)
- Attend all Board meetings (Full Board and Committees). Prepare appropriately in advance, contribute where requested and participate in discussions and decision-making.
- Ensure compliance with relevant laws and regulations applicable to the organization.

- Support philanthropic fundraising efforts by bringing or developing relationships and potential prospects within your networks and externally.

- Time commitment: Must be able to commit to approximately 2-3 hours per week and attend all bi-monthly board meetings, committee meetings, and any ad-hoc meetings called by the executive committee of the Board.
